Executive Assistant 

 

We are looking for a Executive Assistant to the Regional President for our Querétaro facility. In this role you will a trusted partner to the Regional President by providing high-level administrative, organizational, and strategic support that enables effective leadership of the Americas region. The role is responsible for managing executive priorities, coordinating communications, facilitating the execution of travel, and ensuring seamless collaboration across regional and global stakeholders. Through exceptional organization, discretion, and proactive problem-solving, the Executive Assistant helps maximize leadership effectiveness, supports business performance, and contributes to the successful achievement of regional objectives.

 

 

 

Your Responsibilities:

 

  • Provides comprehensive administrative support to the Regional President, Americas, ensuring the effective execution of daily business priorities and strategic initiatives.
  • Manages complex executive calendars, scheduling meetings, leadership reviews, customer visits, and business events while balancing competing priorities.
  • Coordinates domestic and international travel arrangements, including flights, accommodations, transportation, itineraries, visas, and expense reporting.
  • Prepare, organize, and maintain executive correspondence, presentations, reports, meeting materials, and other business documents.
  • Serve as a key point of contact between the Regional President and internal and external stakeholders, ensuring timely communication and follow-up.
  • Track and monitor action items, commitments, and strategic initiatives to ensure deadlines are met and objectives are achieved.
  • Manage and prioritize incoming emails, correspondence, and requests, proactively identifying urgent matters requiring executive attention.
  • Maintain confidential and sensitive information with the highest level of discretion and professionalism.
  • Support preparation for executive meetings by coordinating agendas, gathering required materials, and documenting key decisions and action items.
  • Assist in the planning and execution of Leadership Team meetings, business reviews, strategy sessions, and off-site events.

 

 

Your Profile:

  • 5+ years of experience as an Administrative Assistant including 3+ years’ experience as an Administrative Assistant for a Sr. Manager or Executive Manager.
  • Effective communicator with ability to communicate complex issues in a compelling and effective manner, combined with strong writing and presentation skills.
  • Proactive and organized with the ability to deal with short deadlines in an agile environment for a global organization.
  • Solid project management and/or event planning experience preferred.
  • Bilingual, Spanish and English.
  • Management of projects and initiatives across hierarchical levels and multiple cultures.
  • High level of self-organization and passion for communication.
  • Positive attitude and trustworthiness.
  • The ability to independently make judgements and decisions.
  • Able to reprioritize based on immediate business needs.
  • Advance the leadership team in the use of modern communications and organizational tools (share point, AI, workflows, office 36).
