
Office Coordinator
We are seeking an Office Coordinator to join our Shared Services Center (SSC) in Warsaw. The role is responsible for ensuring smooth office operations, supporting administrative processes and ensuring compliance with local trade control regulations. The position also supports internal communication and employee engagement initiatives to foster a positive workplace environment and strengthen the visibility of the local entity within the organization.
Your Responsibilities
- Analyze financial and operational data to identify trends, risks, and opportunities in the finance and operations areas inventory and working capital impacts
- Ensure smooth day-to-day office operations in accordance with Oerlikon internal policies and local regulations.
- Coordinate office services, suppliers, and facility-related activities.
- Act as the primary point of contact for local administrative and office-related matters.
- Support onboarding and offboarding processes for employees and external collaborators.
- Organize and coordinate local meetings, internal events, and visits.
- Maintain and update local administrative procedures and documentation.
- Manage and support internal communication activities, including sharing updates on local events, achievements, and key initiatives via internal platforms.
- Contribute to building a positive image of the local entity by ensuring visibility of activities and successes.
- Support and promote employee engagement initiatives such as charity actions, sports activities, and other local programs.
- Collaborate with stakeholders to ensure effective communication and participation in local initiatives.
- Implement and maintain local trade control processes in line with Oerlikon Trade Compliance framework.
- Perform trade compliance checks (customers, suppliers, transactions).
- Identify, assess, and escalate potential trade compliance risks.
- Support internal and external audits related to trade control.
- Maintain accurate trade control documentation and records.
- Deliver local trade control awareness and support to employees.
Your Profile
- Fluency in English
- Experience in administrative roles.
- Ability to manage multiple priorities and meet deadlines (KPI-driven, e.g., 5-day SLA adherence).
- Strong attention to detail, especially in documentation and reporting. • Strong problem-solving skills.
- Excellent written and verbal communication skills, with the ability to communicate clearly and effectively.
- Proactive, well-organized, and service-oriented mindset.
- Ability to engage with stakeholders and support employee initiatives
