Officer Commercial
Duties and Responsibilities:
Credit Control Responsibilities: -
1. Billing and Documentation
• Billing Management: Oversee and manage the billing process to ensure timely and accurate invoicing of customers.
• Credit Note Documentation: Prepare and maintain records of credit notes, ensuring accuracy and compliance with financial protocols.
• Debit Note Documentation: Prepare and process debit notes as per requirements, and ensure appropriate documentation is in place.
2. Payment and Accounts Management
• Payment Follow-Up: Track outstanding payments and follow up with customers for timely settlement.
• Cheque Deposit: Ensure timely and accurate deposit of cheques in the bank as part of the payment collection process.
• Accounts Receivables (AR) Updating: Maintain and update AR records, ensuring accurate data for financial reporting.
• Ledger Reconciliation: Reconcile ledgers to ensure all accounts are up-to-date and discrepancies are addressed.
• Customer Balance Confirmation: Coordinate with customers to confirm account balances and resolve discrepancies.
3. Customer and Data Management
• Customer Communication: Handle communication with customers regarding billing, payment status, and other related issues.
• Customer Creation: Support the process of creating new customer accounts, ensuring correct data entry and system updates.
• Master Data Updating: Ensure all master data (customer, product, financial) is maintained accurately and up to date.
4. Logistics Support
• Logistics Support: Assist in coordinating logistics movements, ensuring alignment with customer delivery requirements.
Admin Responsibilities:-
1. Staff Management
• Manage Attendance, Leave, and Overtime: Oversee and manage staff attendance, leave records, and overtime.
2. Vendor Coordination
• Coordinate with Vendors: Manage services provided by vendors, such as housekeeping and security.
3. Procurement and Logistics
• Raise and Track Purchase Requests (PR): Handle the process of raising and tracking purchase requests for administrative needs.
• Arrange Logistics for Guest Visits: Organize travel and accommodation logistics for guest visits.
4. Event and Visit Coordination
• Organize Monthly Events: Plan and organize monthly events such as birthdays and poojas.
• Coordinate Government Visits: Manage and coordinate government visits at site/offices.
5. Documentation and Audit Support
• Maintain and Organize Admin Documents: Ensure all administrative documents are properly maintained and organized.
• Support Audits: Assist in audits, including ISO and legal audits.
Required education, experience, knowledge
• Bachelor's degree in Finance, Commerce, or a related field.
• 5-7 years of experience in commercial, administrative, or related functions.
• Exposure to Credit Control, billing, and customer service processes is preferred.
• Proficient in MS Office (Excel, Word, PowerPoint).
• Familiarity with ERP systems or accounting software (e.g., SAP) is a plus.
Required skills & expertise
• Strong written and verbal communication skills for dealing with customers, vendors, and internal teams.
• Ability to manage multiple tasks efficiently, prioritize responsibilities, and meet deadlines.
• Able to work closely with various departments (Finance, Logistics, HR, etc.) to achieve company goals.
